What Is a Catering & Bar Quantity Calculator?

Planning a wedding or event means guessing right on two of the biggest line items: food and drink. This calculator uses your guest count, event length, drinking rate and servings per person to estimate the total drinks you'll need, a rough wine/beer/spirits breakdown for purchasing, and the total food servings to order or prepare.

These numbers are a first-pass estimate to bring to your caterer or bar service, not a substitute for their professional recommendation — but they'll get you in the right ballpark before you start getting quotes.

How to Read Your Results

Total Drinks Needed

This is guest count × event hours × drinks per person per hour, which gives you the overall number of drinks (alcoholic and non-alcoholic combined) to plan for across the whole event.

Wine, Beer & Spirits Breakdown

Of the total drinks, only the percentage you specify as "drinking alcohol" counts toward the alcoholic total. This calculator then splits that alcoholic total evenly three ways across wine, beer and spirits as a simple starting assumption, converting each into purchase units: about 5 glasses per 750ml wine bottle, 24 beers per case, and about 17 drinks per 750ml spirits bottle. If your crowd skews toward one category, shift the split accordingly.

Total Food Servings

This is simply guest count × servings per person. The default of 3 servings assumes an appetizer or buffet-style event — a seated, plated meal typically needs a different number, so confirm with your caterer.

Real-World Example

At a fixed 5-hour event with 1 drink per person per hour, total drinks needed scale directly with guest count:

GuestsEvent LengthDrinks/Person/HourTotal Drinks Needed
505 hours1250
1005 hours1500
1505 hours1750
2005 hours11,000

Every 50 additional guests adds another 250 drinks at this rate — a useful shortcut when you're comparing venue capacities or trimming the guest list to fit a budget.

Tips for Catering & Bar Planning

  • Always round purchase quantities up, not down — running short mid-event is worse than having a little extra.
  • Consider non-alcoholic options for all guests, not just those who don't drink — many drinking guests will also want water, soda or mocktails.
  • Buffer 10–15% extra across food and drinks for a margin of safety against no-shows, plus-ones and hungrier-than-expected guests.
  • Confirm your venue's corkage or BYOB policy before buying any alcohol — some venues charge per bottle or require licensed service.

Frequently Asked Questions

How much should I budget per drinking guest?

A common rule of thumb is about 1 drink per person per hour for a mixed crowd. For a 5-hour reception, that's roughly 5 drinks per drinking guest — adjust up or down based on your crowd and event style.

Should I plan differently for a cocktail hour vs. a full reception?

Yes — cocktail hours tend to see a faster pace of drinking in a short window, while a full reception spreads consumption out. If your event has both, you can run this calculator once for each segment and add the results together.

What if my event has an open bar with mixed drinks?

Mixed drinks use less spirits per pour than a beer or glass of wine takes of its own category, so you may want to shift more of your alcoholic total toward spirits and less toward wine and beer than the default even 3-way split.
