This calculator turns a raw list of activity durations into a realistic total run time by adding two kinds of slack: a percentage-based contingency buffer (to absorb activities that run long) and fixed transition time between activities (to cover the walking, waiting and settling-in time a bare activity list ignores).

Event planners rarely schedule back-to-back activities with zero slack — doing so guarantees the whole event runs behind by the first reception. Building in a buffer up front means small delays get absorbed instead of cascading through the rest of the day.

How to Read Your Results

Total Schedule Length

Your realistic total run time — the number to use when blocking out your venue booking, vendor hours and guest invitations.

Raw Activity Time

The sum of your planned activity durations, with no buffer applied — this is your bare-minimum timeline.

Contingency Buffer Added

The extra time added as a percentage of your raw activity time, to absorb activities running longer than planned.

Transition Time Added

The fixed time added for moving guests between activities or locations — every handoff point costs real minutes that a simple activity list misses.

A wedding reception with 240 minutes of planned activities (dinner, toasts, first dance, cake cutting), a 15% contingency buffer, and 5 transitions averaging 10 minutes each:
